PRACTICAL NOTES FOR APPAREL BUYERS

Prepare for Your Next Saree Purchase.

A practical buying checklist for retailers and wholesalers: define your requirement, compare supplier terms and prepare for a sourcing conversation in Surat.

1. Begin with the customers you serve

A useful sourcing brief starts with your own shop or wholesale business. Explain where you sell, which saree styles your customers ask for, your intended selling price segment and the gaps in your current range. A reference photograph can make a style discussion clearer, but it does not confirm that an identical product is available.

Separate what is essential from what is flexible. For example, you may need a particular overall look or buying timeline while being open to different colours. Tell the supplier which details matter before comparing options.

2. Write down a workable buying brief

  • Your business name, city and whether you buy for retail or wholesale.
  • The saree styles, fabrics or reference designs you want to discuss.
  • Your intended purchase price range and approximate quantity.
  • Colour or assortment preferences, and whether you need repeat availability.
  • Your buying timeline and proposed travel dates, if visiting Surat.
  • Any payment or credit arrangement you need to discuss.

These are discussion points, not a fixed order form. Availability, assortment, prices and minimum quantities must be confirmed with the relevant supplier.

3. Compare the full offer

A quoted price is only one part of a purchase. Confirm what the quote covers and whether you are comparing the same product specification, quantity and assortment. Ask how packing, transport and any applicable charges will be handled so you understand the full commitment.

Before proceeding, clarify the description of the goods, quantities, agreed price, payment schedule, dispatch expectations and the process for reporting a shortage or product concern. Ask what return or replacement terms apply; do not assume all suppliers offer the same arrangement.

4. Decide whether a visit is useful

You can start by phone or WhatsApp. Explain your requirement before booking travel. Whether an in-person visit is useful depends on the goods, the supplier and the arrangements being discussed.

If you visit, keep your buying brief and supplier discussions organised. Record which options you considered and what remains to be confirmed. Photographs or samples should be used with the supplier's permission and linked to an identifiable product reference.

5. Confirm the purchase details

Before dealing with an unfamiliar agency, follow our checklist for checking a Surat textile agent.

Keep a written record of agreed product details and commercial terms. Confirm the supplier's identity and payment instructions directly through an established contact before making a payment, particularly if those instructions change.

Retain the order confirmation, invoice and dispatch information. If the goods differ from the agreed description, record the concern promptly and use the reporting process discussed with the supplier.
